The instructions below are for studios who have already setup a standard prepay project on OPS without (.csv) data and now know they need data in order to use OPS's QR Code or Barcodes image matching services. Here's how to modify your PrePay project to collecting your client's project data during the prepay purchase. (See our No Data PrePay Setup for Packages or Product Credits - Batch/Proof Projects if you need more details on this service.)
Modifying your (no data) Prepay Project to Collect Client's Data - with No PrePay Orders Placed.
Login to your PrePay Project and check to see if anyone has placed a PrePay project yet. If you don't have a any prepay orders listed on the PrePay tab, that's good news, your conversion will be just a couple of clicks of your mouse!
Go to your project's Options tab and then Click on the Prepay Tab.
Your PrePay Orders page must be completely empty to continue. If you have prepay orders displayed here, move on to Section XXXXXXXXX
Now that you have determined there are no PrePay Orders have been made for your project, Click on your Options > General tab and scroll down to the Mode section of your options setup page. so you can edit your project's options.
Now Click on the Yes radio button to enable your subject info to be added into OPS's data table for QR and Barcodes.
Now scroll back to the top of your Screen and Click on the Save All Tabs...............
Congratulations, your Prepay project will now collect your Prepay Data for QR or Barcode Image matching!
If your project has PrePay Orders already placed prior to converting your project to collect your client's data, you must download your PrePay data and then re-import the customer data into your project's Subject Data page. Please see the instructions below for step by step details.
Modifying your (no data) Prepay Project to Collect Client's Data with existing PrePay Orders.
Getting Started
Modifying Your Batch Credit Project
Login to your Project's list and Click On the Project you need to modify.
In the next screen, navigate down to the Add Subjects for PrePay Orders, (See image below in Red Letters) and check the YES Radio button (instead of the default No button) See Example Below.
Click the Save button to Save the Add Subjects button change you just made.
The Next Step is to download all your existing prepay data in this project and import the data into the Subjects Screen.
Adding your PrePay Data to your project for QR Code Printing
If your project already has previously submitted prepay orders, you must download your existing PrePay data from OPS and then import it into OPS as Subject Data. Doing this step will allow you to print QR or Bar Codes of all your prepay orders for your shoot.
Click on the PrePay button in your project and then click on the Download .CSV button.
After you download and open your project's existing PrePay .CSV file, you need to ID the five mandatory columns you will be reposting to your Project’s Subject page. (Please note: This step is critical for matching your uncollected prepay data to your collected data for QR or Barcode printing and image matching at your shoot.)
Here are the Column Names of the Fields you will be importing into your project’s Subjects Page:
Confirmation Code, First Name, Last Name, Email, *Class/Teacher/Homeroom, or Team Name. (*Whichever Group Name is required must be Mapped into the Teamname column.)
After downloading and inspecting your PrePay .CSV file, go to your project’s Subjects tab > then the Subject Actions drop down arrow, and then click on the Add/Merge Subject Data Only line.
Your Add/Merge Data window will open, Click on the Upload CSV button.
Next a new Map Field window will open. In the Mapping Window you will see two Header Names in the top gray line. The OPS Fields header on the left is a list of the OSP file headers available for mapping. The CSV Fields on the right has a column of drop down windows containing the column headers of the .csv file you are uploading. If your .csv file column headers match OSP’s Field Names, the field names will auto populate. If your .csv field names do not match, simply click on the drop down arrow in the box and navigate to your .csv column headed you want to match to the OSP Field. In the example window below, the First and Last Name fields matched and have auto matched. The Password OSP line didn’t auto match, so the .CSV Confirmation Code field was selected to be used as the password for this project. (Note the Confirmation Code is also being used as the Student ID code as well, which is permitted.)
After ensuring all your fields are mapped correctly, click on the Import Data button at the bottom.
OPS’s upload software will scan your .csv file for any illegal characters that may have been entered into your data. If illegal characters are found, OPS will display an error message containing information on which column in your .csv file contains illegal characters. Please correct the problem(s) by editing and saving your .csv file and then restarting the file uploading process once again.
When your .csv file is clear of illegal characters, a new window opens with a file Upload Status bar. Please be patient and do not do any other work on your computer doing the file uploading process. You will receive a Green Bar and message stating the CSV Upload was successful.
After all your PrePay Data has been uploaded to your Subject's page you're all set! Now all future Prepay orders will automatically be added to your Subject's page so you can create QR for Barcodes for your shoot's image matching.
One last note! Don't forget to go to your Options > general Tab and navigate to the bottom of the page. Make sure your Hide Project button is set to SHOW so your client's can login and continue to purchase Prepay orders from you.
